Costcutter Supermarkets Group Privacy Statement

The following explains how we Costcutter Supermarkets Group (Controllers) intend to use the information you provide in your application, along with your rights, our reasons for requesting it and who will have access to it.

As defined by the General Data Protection Regulation (GDPR) Costcutter Supermarkets Group, Harvest Mills, Common Road, Dunnington, North Yorkshire is the Data Controller and ultimately responsible for ensuring the data you provide is kept secure, processed correctly and that you understand your legal rights in relation to the data you provide. The recruitment software we use via this website is supplied by Net-Worx (2001) Ltd (trading as networx) and they are defined as a Data Processor under the GDPR. They will only process your data in accordance with our instructions.

Purpose

To provide you with information on how Costcutter Supermarkets Group (CSG) use your personal data. The wording in the notice reflects the requirements of the General Data Protection Regulation (GDPR).

 

Principles

 

  • CSG collects and processes your personal data in order to facilitate the job application process.
  • CSG is committed to being transparent about how it collects and uses your data and to meeting its data protection obligations.

1.What information does CSG collect?

 

CSG collects and processes a range of information about you. This may include:

  • your name, address and contact details, including email address and telephone number;
  • details of your qualifications, skills, experience and employment history, including start and end dates, with previous employers and with the organisation (and any other information contained in your CV or otherwise provided by you in support of your application or building up your website candidate account);
  • information about your nationality and entitlement to work in the UK;
  • information about criminal record or results of a DBS check;
  • information about medical or health conditions, including whether or not you have a disability for which the organisation needs to make reasonable adjustments;
  • equal opportunities monitoring information including information about your ethnic origin, sexual orientation and religion or belief;
  • Your answers to questions around recruitment preferences; and
  • Answers to application questions or results of any other selection methods including but not limited to external testing.

    We may collect this information in a variety of ways. For example through website recruitment software (supplied by Net-Worx (2001) Ltd) - trading as networx), or various online job boards; application forms, CVs; from correspondence with you; or through interviews, meetings or other assessments.

    The organisation may collect personal data about you from third parties, such as references supplied by former employers.

    Data will be stored in a range of different places, including with networx, in HR’s management systems and in other IT systems (including the email system)

 

2. Why does CSG process personal data?

 

CSG needs to process data to contact you regarding any vacancies and process your job application.

We also need to process data to ensure we remain compliant with our legal obligations.

In other cases, we have a legitimate interest in processing personal data before, during and after your application. Processing candidate data allows us to:

  • Assess suitability for vacancies, deal with your job application and make you aware of upcoming roles; and
  • Respond to and defend against legal claims.

     

     

    Sensitive personal data

    Some special categories of personal data, such as information about health or medical conditions, are processed to carry out employment law obligations (such as those in relation to candidates with disabilities).

    Where we process other special categories of personal data, such as information about ethnic origin, sexual orientation or religion or belief, this is done for the purposes of equal opportunities monitoring. Data we use for these purposes is collected with the express consent of candidates, which can be withdrawn at any time. Candidates are entirely free to decide whether or not to provide such data and there are no consequences of failing to do so.

    CSG may hold information about criminal convictions or DBS checks.

    CSG will only collect information about criminal convictions or carry out DBS checks if it is appropriate to the role and where we are legally able to do so.

 

3.  Change of purpose

 

CSG will only use personal information for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal information for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

 

CSG may process personal information without candidates’ knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

 

4.Who has access to the data?  

 

Your information may be shared internally, including with members of the HR and recruitment teams or your potential future line manager and other employees who are direct participants in the recruitment process.

We share your data with third parties in order to obtain pre-employment references from other employers and obtain employment background checks from third-party providers.

Our recruitment process requires that we contact the referees provided by you as part of our checks to ascertain suitability of employment. The content of the reference will not be shared without the referee's permission.

Your data will also be made available to networx.

 

CSG will not transfer your data to countries outside the European Economic Area.

 

5.How does CSG protect the data?

 

We take the security of your data seriously and we have internal policies and controls in place to try to ensure that your data is not lost, accidentally destroyed, misused or disclosed.

 

Where we engage third parties to process personal data on our behalf, they do so on the basis of written instructions, are under a duty of confidentiality and are obliged to implement appropriate technical and organisational measures to ensure the security of data.

 

6.For how long does the organisation keep data? 

 

Your application data will be stored for 24 months after the vacancy has closed, after which period it will be fully deleted. Your candidate account will be deactivated after 24 months of inactivity. You can deactivate your account at any time. Once the account is deactivated your data held by networx will be fully anonymised.  Any data downloaded by CSG may not be deleted immediately after deactivation of your account but will be subject to regular data purges every 24 months.

 

7.Your rights 

 

CSG are dedicated to providing reasonable access to visitors who wish to review the personal information retained when they apply via our website and correct any inaccuracies it may contain. Visitors who choose to register may access their profile, correct and update their details, or withdraw their details at any time. To do this, visitors can access their personal profile by using their secure login. In all cases CSG will treat requests to access information or change information in accordance with applicable legal requirements.

 

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request;
  • require CSG to change incorrect or incomplete data;
  • require CSG to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
  • object to the processing of your data where CSG is relying on its legitimate interests as the legal ground for processing; and
  • request copies of your personal data held by CSG by emailing human.resources@costcutter.com to make a subject access request. Within your candidate account, you can also use the Download Data feature to generate an XML file of the current data we hold on you that you have provided and/or have access to within the account.

    If you believe that the organisation has not complied with your data protection rights please discuss the issue with the HR team. If CSG are unable to resolve the issue you can escalate the issue to the Information Commissioner Office at https://ico.org.uk/concerns/.

 

8.Automated decision-making

 

CSG does not use automated decision-making. Instead, all decisions to recruit are based on processes and discussions as opposed to automated algorithms.

 

9.Changes

 

CSG reserve the right to update this privacy notice at any time, and we will provide you with a new privacy notice when we make any substantial updates. CSG may also notify candidates in other ways from time to time about the processing of your personal information.
