We have a unique opportunity for an experienced Legal PA and Document Production Specialist to join Fieldfisher in a hybrid working capacity on a remote working basis.

This hybrid role will be supporting the US (Silicon Valley) Managing Partner while forming part of the Document Production Team in the UK.

In line with West Coast time, the working hours for the position are 7pm – 2am (GMT) and will be fully remote working.

The individual must have the ability to organise and expedite work whilst maintaining a professional demeanour at all times and in all situations.  Working as part of team the role requires excellent communication skills and the ability to balance, manage and prioritise work across the firm ensuring our clients are kept aware of progress and challenges as appropriate.

The Document Production Specialist (“DPS”) is skilled in a wide range of document production, presentation and graphic areas.  Fast and accurate copy and audio typing skills are essential for this role as are expert IT skills, or the willingness to work towards this standard.  The role requires the ability to perform independently and the flexibility to adapt to any situation.  Discretion and initiative are paramount as the DPS may work on material of a highly confidential nature to tight deadlines.

What to expect (Document Production)

  • To answer and respond to all incoming requests in a prompt and effective manner
  • Create and amend documents from handwritten mark-ups accurately and in a timely fashion
  • Create documents and correspondence using digital dictation
  • Create tables, flowcharts and presentations to a high standard, offering advice when necessary
  • Proofread all work to ensure accuracy, correct layout etc
  • Advanced use of track changes and comparison software such as DeltaView
  • Strip and reformat documents
  • Troubleshoot problem documents using extensive knowledge to find solutions
  • Ensure house style is adhered to and promoted on all FFW documents
  • Ensure all documents that come through the department are correctly formatted and stable
  • Raise awareness to the Head of Secretarial Services when documents, previously worked on at business unit level, have formatting issues to assist the firm in enhancing training programmes
  • Scanning and document conversion 

What to expect (Legal PA)

Diary management:

  • Ensure client and internal meeting clashes do not occur
  • Diary management and meeting organisation (sending invitations, room bookings, Microsoft Teams management)
  • Ensuring Partners/Fee earners have all the required materials for their meetings
  • Arrange meetings on behalf of partners/fee earners/clients
  • File management responsibilities.   Opening and closing files including ensuring electronic filing systems are maintained accurately and up to date. 
  • Mailbox management with the ability to prioritise, categorise and respond to basic client requests and draft responses accordingly.
  • Support various business units as required.

Required Technical Skills

  • Advanced Word/Office skills are essential for this role as is the ability to produce, format and work with complex and lengthy documents and agreements
  • Intermediate PowerPoint and Publisher skills
  • Outlook skills (Fieldfisher use Microsoft 2010)
  • Fast accurate typing skills (minimum 70 wpm)
  • Intermediate Excel skills
