OVERALL SUMMARY

As a Personal Assistant, the role holder is required to provide professional, proactive, and high-quality administrative support to Senior Leaders.

The role holder will need to be a self-starter, with a drive to understanding the business processes, which will enable them to anticipate needs, prioritise senior level time and effectively manage work schedules, diaries, travel, and correspondence. With access to confidential information, the role requires absolute discretion at all times.

There is a requirement to interact with a range of stakeholders so customer service skills are essential. The ability to organise, prioritise and multi-task are also key requirements for this role.

Please note, this role is an initial 12 month FTC.

RESPONSIBILITIES

  • Proactive diary management: arranging meetings and making travel arrangements, in addition to organising catering, room bookings and conference facilities
  • Basic inbox management - flagging and responding if needed and appropriate
  • Arranging and attending key offsites and events
  • Working in partnership with the Business Operations Managers in each leaders’ function, and those of adjoining functions
  • Onboarding new starters within your division
  • Ensuring the leader is well informed of upcoming meetings and papers are provided in sufficient time for preparation and review; keeping track of any actions for meetings
  • Liaising with vendors, raising purchase orders, processing expense claims, and training others on the relevant systems where required and in a timely manner
  • Supporting with management of holiday requests and updating sickness records within the HR people system on behalf of senior management
  • Placing stationery orders, organising desk plans including space booking for leaders and hybrid working arrangements, lockers and coordinating with facilities
  • Working closely with other PAs/EAs, providing additional support and cover where required

  • An excellent attention to detail
  • An ability to multi-task
  • Expert knowledge in Microsoft Outlook, Word, PowerPoint and Excel
  • Previous experience in a Personal Assistant role
