About the Role:

The BID Coordinator will be based within the Bid Team and will involve in supporting the team in the coordination and production of accurate and timely proposals, both within domestic and international markets. The role may also include a range of marketing and general administrative duties. The Bids Administrator will report to the Bids Team Leader.

Main Duties and Responsibilities

  • To assist in the management of the end-to-end tender process from inception through to post-tender interview/clarifications
  • To assist in the preparation, compiling, and managing the submission of pre-qualification questionnaires(PQQs), Expressions of Interest(EOIs) documentation, and Invitations to Tenders(ITT's)
  • To communicate with all relevant parties ensuring they understand clear and concise tender deliverables and deadlines where required, to attend ongoing tender status review meetings
  • To work closely with the Bids Team Leader to ensure Document Management System, Bid Libraries, and management of KPI information are maintained and continuously updated
  • To assist teams in a range of sales, marketing, and administrative duties including preparation of presentations, literature, and electronic tender files.

Knowledge, Skills, and Experience

  • Proven track record in the role of a Bid/Tender Coordinator/Administrator
  • Ability to multi-task and work to tight deadlines
  • Excellent verbal and written communication skills
  • Self-motivated with high levels of perseverance
  • Ability to work on own initiative or within a team
  • Must have a high level of attention and an eye for detail
  • Excellent planner with strong organizational skills
  • Excellent IT skills including a high level of knowledge of Word, PowerPoint, Excel, and Sharepoint. 
  • Use of InDesign/Adobe Create Suite an Advantage
