This is a Permanent, Full Time vacancy that will close in {x} days at {xx:xx} BST.

Working closely with the Accounting team, this person will be responsible for providing a variety of administrative duties for Administration team such as office arrangement, resolving priorities with constant changes, support to Accounting procedures. Ability to work under pressure with short deadlines is needed. Must be able to always maintain the highest level of confidentiality and creditability, humility, honesty, effort and passion in our Madrid office.

 

Duties and Responsibilities

  • Assisting with all administrative/office activities conducted in Spain branch
  • Support to Accounting procedures
  • To be in charge of all office needs (i.e office supplies, repairs, visitors, correspondence, to organize storage room..)
  • To prepare administrative purchase order and Good Receipt in SAP.
  • To control and monitor Admin department cost
  • To reach Admin financial KPIs
  • Progress reports to be issued to Line manager as required
  • To support on accounting tasks:
    • Vendor qualification
    • Account payable
    • Account receivable
    • Travel expenses (to review employee travel expenses)
    • Treasury (to prepare vendor payment list, bank movement booking, bank reconciliation, company credit card arrangement and booking)
  • To assist on travel arrangements, only when is required.
  • Organise MPW events that take place in Spain, workshop.
  • Provide administrative support for other departments as needed and as time permits.
  • To follow up and revise Expenses Reports.
  • Perform such other duties as may be required from time to time by the company.

 

Skills and Experience Required

  • Education: Vocational Education and Training in Administration as minimum required.
  • Graduate level education / Qualified by experience Secondary education/ Vocational training or Business Degree.
  • Fluency in business English
  • Computer knowledge and mastery of common software packages for office work.
  • Knowledge/Skill: General knowledge of following areas; SAP, Concur, Coupa is preferable,
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Reasoning Ability: Ability to apply understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardised situations
