Full Time – Permanent – 37 hours per week – Ideally located within 1 hour of Peterborough

We have a fantastic new role within the Assets and Estates directorate as a Property Compliance Coordinator. This role is responsible for recording cyclical and service programmes of work to assist with monitoring contract performance and ensuring health and safety compliance. In addition, the successful incumbent will provide a scheduling service to our inhouse cleaning team by arranging appointments with residents following incidents of damp and mould.

To be successful in this role you need to have knowledge and understanding of health and safety at work including building safety, fire regulations and COSHH as well as having excellent communication and customer service skills.

We are looking for someone

  • Maintain accurate records and records for all health and safety compliance activities.
  • Maintain the Keystone database and other relevant record keeping systems with all health and safety compliance activities.
  • Supply information as requested to help populate the monthly PULSE report and to assist in providing information for audit activities as and when required.
  • Monitor and report on compliance and performance of the fire risk assessments and water/electrical/gas/lifts/asbestos testing programmes.
  • Provide a monthly schedule of properties that have their gas capped along with reasons why the gas is capped.
  • Provide a scheduling service to the Damp and Mould Cleaning Team – scheduling their visits and work patterns to respond to incidents of damp and mould.
  • Assist and support the Project Surveyors to deliver health and safety related service and cyclical contracts from inception to completion in accordance with current legislation.
  • Work closely with the Project Surveyor (Fire Safety) on maintain all records in relation to fire safety.
  • Support the Project Surveyor (Fire Safety) in conducting a comprehensive audit of Cumberland House our high rise building over 18 metres high.
  • For each pulse report, provide a root cause analysis report on any health and safety activity where there are potential learning outcomes – for instance, each fire in a resident’s property, each gas cap.
  • Assist and support with specifications, tender documentation, and feasibility studies/technical reports.
  • Work closely with Project Surveyors, build, and manage internal and external customer relationships across the business and with stakeholders that enhances our approach to building safety. Delivering a professional service whilst keeping both internal and external customers fully informed and doing what we say we will do within the timescales agreed.
  • Working alongside Project Surveyors to undertake monthly validation inspections of property data and ensure systems are up to date.
  • Assist Project Surveyors where possible by arranging property inspections and sites to report on the performance management of health and safety activities. Monitor contractors to ensure delivery of the health and safety programmes according to set timescales, inputting data and reporting on performance against an agreed suite of key performance indicators on a monthly basis. Monitor and report on compliance and performance of the fire risk assessments and water/electrical/gas/lifts testing programmes.
  • Record property inspections monitor and manage report on remedial actions identified from cyclical testing programmes.
  • Support with Health and Safety (CDM) compliance for all projects are undertaken and that we discharge our duty in line with all relevant legislation.
  • Be responsible for the effective and efficient implementation of service audits and execution of any outcomes are delivered in full contract policy and strategies for Cross Keys Homes in accordance with good management practice.
  • Support and assist pre and post works inspections and manage quality and performance with the contractor and report monthly.

 

Essential Requirements

  • Basic Project management experience (inception to completion) undertaken in building or associated works programmes, including contract administration.
  • knowledge and understanding of Health and Safety at Work including the CDM Regulations.
  • Demonstrate a knowledge and understanding of the following: -
    • Current Building Regs.
    • Planning Regulations
    • Party Wall Act
    • CDM Regulations
    • Fire Regulations
    • COSHH
    • Service contracts
  • Good working knowledge of standard I.T. packages including MS Word, Excel, Outlook.
  • Experience of dealing with members of the public in an effective manner, and providing high levels of customer care.
  • The ability to communicate information both verbally and in writing, including letters, reports, spreadsheets etc., and ability to deliver complex reports to a non-technical audience.
  • Ability to support and assist on projects.
  • Ability to manage and resolve customer issues effectively.
  • The ability to work with confidential and sensitive information at work.
  • Ability to process information and provide statistical reports using Excel and Microsoft Project, to produce graphs, reports, spreadsheets etc.
  • Willingness to learn and be a team player.
  • Good organisational skills and attention to detail

Desirable Requirements

  • Experience of working in a customer focused housing environment.
  • Knowledge of construction technology, in the context of domestic properties.
  • Knowledge of using in-house property management software.
  • A working knowledge of managing M&E and cyclical contracts, with a good understanding of current regulations

 

Additional Requirements

  • Hold a full UK Driving Licence.
  • Flexibility to work evenings, weekends (unsociable hours) if required.
  • The ability to respond to emergency situations / callouts (within office hours).
