Job Role

This is a full-time vacancy providing comprehensive administrative support to the estates and office services team within our Property Services Directorate. Our Estates & Office Services team are responsible for managing estate services across Soha’s stock, and as Estates Assistant you will be one of the first points of contact for all Estate based queries, providing an efficient and professional service to Soha’s residents, contractors, and other stakeholders.

Key Duties

  • To respond to a wide range of estate-based enquiries including grounds maintenance, cleaning, window cleaning, tree maintenance and block repairs from residents, contractors and members of the public within agreed timescales.  
  • To respond to non-formal complaints made about estate services and liaise with residents and contractors.
  • To request quotes, raise contractor orders and process invoices.
  • To assist in monitoring Soha’s estate maintenance contractors’ performance and address compliance with standards set. 
  • To take minutes at meetings, produce letters and mail merges and filing using our computerised office systems.
  • To carry out estate-based inspections and record the findings.
  • To escalate any issues affecting the estates service to the Estates Services Manager.
  • To project manage Soha’s Green Champions, to include recording their inspections, issuing vouchers, and keeping them updated on actions taken.
  • To assist with Estate Improvement applications, requesting quotations and keeping applicants informed of progress.
  • To assist with scheduling in work for the Estates Operatives, raising repairs and liaising with colleagues to resolve issues highlighted from their visits and inspections.
  • To provide Office Services cover at our Head Office as and when required.
  • To occasionally assist customer services by answering phone calls and dealing with tenant queries including raising repair orders to contractors.

What you will need

  • Minimum GCSE, 'O' level or equivalent in English and Maths
  • Good IT skills including as Microsoft Word, Excel and Outlook.  
  • Good organisational and administrative skills
  • Good communication skills 
  • Ability to use initiative and work with limited supervision
  • Ability to remain polite and courteous 
  • A methodical and logical approach to work
  • Ability to work as part of a team
  • This role may involve visits to site, therefore a full driving licence is desired & mileage is paid
