This is a Permanent, Part Time vacancy that will close in {x} days at {xx:xx} BST.

Purpose  
The purpose of the role is to provide HR administration, support, advice and guidance to colleagues and managers across the charity, with a key focus on the timely input of data into the People systems so that accurate and consistent records are maintained and meet all naming and data conventions and enables a live ‘one source of truth’.
You will assist with systems configuration maintenance and development of the HRIS . You will provide a friendly and efficient service that delivers the People Services responsibilities and exceeds all expectations and also making a measurable difference to the organisation.

Hours: 26 hrs / week Monday to Friday 5-5.5hrs/ day, flexible between 9am and 5pm.

 

Location & Travel

Remote based - Home
The role is home-based; however, you will be expected to travel to the Trust’s communities and other relevant locations on occasion. Due to the rural location of some of our communities, a driving licence is essential.


Duties & Responsibilities
Main Responsibilities  

Administration
•    Undertaking People administration, including new starters, movers, leavers, and supporting managers. (Employee life cycle journey)
•    Ensuring that the People system and People records are maintained and updated in line with current legislation and the Charity’s policies and procedures.
•    Ensuring the leaver process is undertaken, and that resignations are acknowledged in writing, leaver forms are completed for payroll, and exit interviews are undertaken, referring any exit issues to People Advisory Team.
•    Manage the People Service Freshdesk ensuring appropriate action is taken and responses provided including forwarding to other members of the People Services Team.
•    Documenting and maintaining processes and templates.
Data
•    Checking the accuracy of data input through self-service and maintaining ‘one source of truth’ across the Trust and monitor and log errors.
•    Support the setting up of data controls and validation as part of ongoing data management.
•    Data Cleanses.
HRIS People Systems
•    Assist development and roll out of new HRIS Modules.
•    Support system testing & UAT to ensure the configuration and functionality is set up and working effectively, including workflows, forms, batch job.
•    Acting as Super User for the systems and able to respond to system user queries from self-service users.
•    Carrying out training for managers, colleagues and the wider People Services team when required. 
Projects
•    Assisting and leading in systems and data projects when required. 
•    Completion of annual pay review, updating HRIS issuing letters and dealing with all related queries.
•    Yearly completion of all annual data and systems projects. 
Collaboration & Support
•    Working closely with the Recruitment team to onboard new starters and ensure all documentation is completed and compliant.
•    Working closely with the Payroll Team to ensure all employees are paid accurately and on time. 
•    Working with the Payroll Team to ensure all queries are resolved in a timely manner. 
•    Assisting and leading in systems and data projects when required. 
•    Supporting the People Advisory team with absence management.
•    Supporting the People Advisory team with note taking in grievance and disciplinaries.

Person Specification
Qualifications
Essential

•    Maths and English GCSE (or equivalent skill   level) Grade C or above 
Desirable
•    HR qualification – certificate or diploma
 

Experience & Knowledge
Essential 
•    Ability to demonstrate strong IT skills, including Microsoft Office 365 applications 
•    Understanding the importance of data integrity and maintaining ‘live’ and ‘one source of   truth’ 
•    Customer focused
•    Effective communication skills, in order to deal tactfully and sensitively with people at all levels and of all abilities
Desirable
•    Knowledge of MHR or similar HR systems. 
•    Previous experience of social care and working for a not-for-profit organisation
•    Experience of working in a busy environment with tasks that require a short turnaround
•    Experience and knowledge of using HR systems and data input.
•    Ability to work with limited supervision, to make decisions and work on own initiative
