The Vacancy
We are seeking a detail-oriented individual to support the delivery of high-quality services for women, teenagers and children affected by domestic abuse. The role focuses on accurate data collection, cleansing and reporting to meet compliance and monitoring requirements. You will help maintain and improve our case management system (Oasis On Track), support staff in its effective use, and assist with monitoring performance against sector quality standards. A strong commitment to confidentiality, data protection, and GDPR compliance is essential.

About us
Juno Women's Aid is the largest domestic abuse organisation in Nottingham and one of the largest in the UK. We work with women, children, and teens who have been affected by domestic abuse in Ashfield, Broxtowe, Gedling, Nottingham City, and Rushcliffe.
We run a wide range of services including the 24-hour Nottingham and Nottinghamshire Freephone Domestic and Sexual Violence Helpline. This is where you can speak to one of our specialist trained female support workers 365 days a year.
In 2021-2022, we worked with 2095 women, 360 children and young people, fostered 49 pets, and received over 17,320 calls on our Helpline.
At any one time, we're supporting 500-600 women and children in Nottingham and South Nottinghamshire.
We’ve been helping women, children, and teens in Nottingham for over 40 years and we’re passionate about helping anyone affected by domestic abuse to stay as safe as possible and to recover from the harm of domestic abuse.

In June 2019 we changed our name from Women's Aid Integrated Services (WAIS) to Juno Women's Aid (Juno) to differentiate ourselves from the other Women's Aid organisations in the area. Juno is a Roman goddess, protector of women and children.

Categories of data we collect
We keep several categories of personal data on our employees, job applicants, trustees and volunteers in order to carry out effective and efficient processes. We keep this data in a personnel file relating to each individual and we also hold the data within our HR Information System, Cascade.
Specifically, depending on your type of engagement with JWA, we may process the following types of data:
Identity and contact information - name, address, phone numbers, email address, date of birth
Recruitment information - applications, CVs, interview notes, references, details on your education and employment history etc.
Employment and volunteer information - employment contracts, terms and conditions, start and end dates, job title, job description, salary (where applicable), hours worked, performance reviews, annual leave records, contact details of your next of kin/emergency contact, formal and informal proceedings involving you such as letters of concern, disciplinary and grievance proceedings, training records and professional qualifications
Health data - information of any disability or other medical information you have disclosed. Reasonable adjustments and accident records
Right to work and DBS checks - documentation to support right to work and DBS checks
Payroll information - National Insurance number, bank account details and tax codes
Internal and external training modulesundertaken
Attendance data - information relating to time off from work including sickness absence, family related leave etc.
IT equipment use including telephone, email accounts, internal communications and internet access
We may also process special category of data, with enhanced protections in place, which include health information, sexual orientation, race, ethnic origin, political opinion, religion, trade union membership, genetic and biometric data. We also process criminal records information if the role involves a DBS check.
As defined by the General Data Protection Regulation (GDPR) Juno Women's Aid is the Data Controller and ultimately responsible for ensuring the data you provide is kept secure, processed correctly and that you understand your legal rights in relation to the data you provide.
The recruitment software we use via this website is supplied by IRIS Software Group Limited and they are defined as a Data Processor under the GDPR. They will only process your data in accordance with our instructions.

How is the information used?

We only keep your data for as long as we need it for, which will be at least for the duration of your employment/engagement with us though in some cases we will keep your data for a period of 7 years after your employment/engagement has ended. If you’ve applied for a vacancy but your application hasn’t been successful, we will keep your data only for 6 months.

JWA will retain indefinitely, your full name, National Insurance number and Job Title of last position held for the purposes of providing an employment reference (if this were to come in after 7 years of employment ending)
Sharing your data
Employees within JWA who have responsibility for recruitment, administration of payment and contractual benefits and carrying out performance related procedures will have access to your data which is relevant to their function. All employees have been trained in ensuring data is processed in line with UK GDPR and the Data Protection Act (2018).
Data in relation to your salary is shared with HRMC as part of our legal obligation. Data may be shared with third parties for the following reasons: for the administration of payroll, pension, DBS, Insurers, Auditors, organisations requesting an employment reference, administering other employee benefits and granting access to work premises. When sharing data with third parties, we have data sharing, processor agreements or contracts in place to ensure data is not compromised. Third parties must implement appropriate technical and organisational measures to ensure the security of your data.
Your rights
Right to be Informed: You have the right to be informed about how we are using your data. If you think we are doing something with your information that we have not told you about in this Privacy Notice, you can object to this;
Right of Access: You can request access to a copy of the personal data that we hold about you;
Right to Rectification: If you think that the personal data we hold about you is inaccurate or incomplete, you have a right to request that it be rectified;
Right to Erasure: You can ask us to delete your personal data where it is no longer necessary for us to use it, where you have withdrawn consent (if we process based on consent), or where we have no lawful basis for keeping it;
Right to Restrict Processing: You can ask us to restrict the personal data we use about you where you have asked for it to be erased or where you have objected to our use of it;
Right to Data Portability: You can ask us to provide you, or a third party (if possible), with some of the personal data we hold about you in a structured, commonly used, electronic form, so that it can be easily transferred; and

Subject Access Requests (SARs)
The UK General Data Protection Regulation (“UK GDPR”) and the Data Protection Act 2018 (“DPA 2018”) provides data subjects with a variety of rights in relation to the personal data held about them.
Article 15 of the UK GDPR – right of access. The purpose of a Subject Access Request (SAR) is to allow individuals to confirm the accuracy of personal data, check the legality of processing to allow them to exercise rights of correction or objection if necessary, and also request to see any personal data that we hold about them. We will respond within one calendar month. If your request is complex, we may extend this by up to two additional months (we will notify you in this case).
There is no fee unless the request is excessive or manifestly unfounded.
Providing references
We may retain and use your personal data (e.g. job role, National Insurance number, dates of employment, job titles) to provide a reference for a future employer or organisation, where it is in our legitimate interests and does not override your rights.
