Vacancy Privacy Statement - Secom PLC

4. Information We Collect

We collect the following information as part of your application:

• Personal details: Name, address, email address, telephone number.
• CV: (if applicable)
• Equal opportunities monitoring information: This information is classified as special category data and is used solely for statistical analysis and monitoring purposes. We will obtain your explicit consent for processing this data through a clear opt-in checkbox within the application form.
• Application questions: Answers to questions within the application form.
• Supporting information: Any other information you choose to provide to support your application.

5. Legal Basis for Processing

We process your data based on the following legal grounds:

• Legitimate Interests: We process your personal data to assess your suitability for the role you have applied for. This includes reviewing your application, CV, and any supporting information.
• Consent: We will obtain your explicit consent to process any special category data you provide. We will also request your consent to keep your data for future vacancies. You can withdraw your consent at any time.

6. How We Use Your Information

We use your information to:

• Process your application.
• Communicate with you about the vacancy.
• Meet legal requirements.
• Conduct statistical analysis of our recruitment process.
• With your consent, contact you about other suitable vacancies.

Your data will be held on our secure computer systems and may be accessed by authorised personnel within our HR department and relevant hiring managers. We will also share your data with our data processor, IRIS Software Group Limited, for the purposes of managing the recruitment process.

7. Data Retention

We will store your application data for 24 months after the vacancy has closed. After this period, it will be securely deleted through an Event-Triggered Purge. This ensures data is not retained longer than necessary.

8. Automated Decision-Making

We use automated screening tools to help manage the high volume of applications. Your answers to some questions (excluding equal opportunities questions) may result in your application being automatically declined. This technology ensures consistent and fair assessment. You can access the reason for any automated decline in your candidate account and have the right to challenge the decision by contacting our Help Desk.

9. Your Rights

You have the following rights regarding your personal data:

• Right of access: You can request a copy of the information we hold about you (Subject Access Request). To do this, please contact our Help Desk at support@networxrecruitment.com with your request.
• Right to rectification: You can request that we correct any inaccurate or out-of-date information.
• Right to erasure (right to be forgotten): You can request that we delete your personal data.
• Right to data portability: You can request a copy of your data in a portable format.
• Right to object: You can object to the processing of your personal data based on legitimate interests. To exercise this right, please contact our Help Desk and explain your reasons for objecting.  
• Right to withdraw consent: You can withdraw your consent for processing special category data or keeping your data for future vacancies at any time. To withdraw your consent, please log into your candidate account and update your preferences or contact our Help Desk.
• Right to lodge a complaint: You have the right to lodge a complaint with the Information Commissioner's Office (ICO) if you are unhappy with how we handle your data.  

You can access, correct, update, or withdraw your details at any time by logging into your secure candidate account. You can also use the "Download Data" feature to generate an XML file of your data.

10. Objection and Withdrawal of Consent

If you object to the processing of your data or withdraw your consent, we may still process your data if required by law or regulatory requirements. In such cases, we will only process the minimum necessary data.
